The following terms and resort rules are applicable to all Glass Resort Oy accommodation reservations. The domicile of Glass Resort Oy is in Rovaniemi, Lapland, Finland.

Reservation & Confirmation

When making a reservation, the guest must provide their name, group size, and preferred date/time of the visit. The reservation becomes binding once the guest receives a written confirmation from Glass Resort. All bookings will be charged according to the payment terms:

Best Available Rate: 100% of the accommodation is payable at reservation confirmation. Cancellation fee 100%. No modifications possible.

Flexible Rate: 10% non-refundable prepayment is charged upon confirming a reservation, the remaining 90% payment must be settled latest 90 days prior to the arrival date. The reservation can be cancelled 90 days prior to the arrival with a 10% cancellation fee. The cancellation fee is 100% if the reservation is cancelled 89 days or less prior to the arrival.

Reservation is eligible for a date change no later than 90 days prior to the original arrival date, and the already paid deposit will be applied to the new booking.

Reservations between 18.9.2025-10.4.2026: New dates of the booking should be within the period from 18th of September 2025 to 10th of April 2026.

Reservations between 17.9.2026-9.4.2027: New dates of the booking should be within the period from 17th of September 2026 to 9th of April 2027.

The reservation fee will be processed via the guest’s credit card (Visa/Master/Maestro/JCB/UnionPay) through an online payment link. After payment is received, the guest will be sent confirmation of their reservation via email.

Customer Arrival & Departure

The guest’s check-in time/reservation start time is provided in the confirmation sent to them. We kindly ask our guests to inform the reception of a late arrival. Check-in is available between 3pm and 11pm. Check-in is completed at the Glass Resort reception, located at Tähtikuja 16, Santa Claus Village. Upon check-in, guests must present a valid credit card (Visa/Master/Maestro/JCB/UnionPay). Check-out must be completed by 11am at the latest. An additional overstay fee of €150 per start of every hour applies in case the apartment has not been vacated by 11am.

Cancellation & No Arrival

The cancellation policy is outlined in the booking confirmation. Any cancellations or modifications must be confirmed in writing by Glass Resort. Guests are encouraged to inform Glass Resort in the event of cancellation or late arrival. Glass Resort recommends that guests obtain travel insurance to cover any unexpected cancellations, as Glass Resort does not provide insurance services. If the guest has not arrived by 11pm on the scheduled arrival date and has not notified Glass Resort of a late arrival, Glass Resort reserves the right to cancel the reservation without prior notice or refund.

Guest Behaviour & Liability

Guests are expected to be respectful and maintain good manners while at Glass Resort. They must adhere to the Terms and Conditions of the Resort and conduct themselves appropriately. If a guest violates the Resort’s Terms or behaves inappropriately, the Resort reserves the right to remove the guest from the premises immediately without refund. Guests are responsible for any damages caused to the Resort or service providers and are required to fully cover the costs incurred. By confirming the reservation, the guest agrees to pay for any damages caused, either directly or indirectly, to the Resort.

Luggage

Luggage service is available upon request between 8am and 9pm. Glass Resort is not liable for any damage, loss, or theft of luggage or valuables at the Resort. In the event of lost luggage or stolen items, guests should report the incident to the host and the local police. A safety deposit box is provided in each accommodation unit for securing valuables.

Pets

Pets are not allowed on Glass Resort premises.

Smoking Indoors & Extra Cleaning Fees

Smoking indoors is strictly prohibited. If the guest smokes inside the accommodation unit, a fee of 1000€ per reservation day will be charged. A 1000€ fee will also apply in cases where ozonation of the accommodation is required. Cleaning after check-out is included in the price, as is daily cleaning. Any additional cleaning services, such as the replacement of hot tub water due to guest misconduct, will incur extra charges. The standard additional cleaning fee is 500€, though this may vary depending on the specific cleaning services required, such as changing the hot tub water. In the event of vandalism, the guest is responsible for covering all damages in full. Glass Resort reserves the right to determine if the damages are considered vandalism.

Quiet Hours

Quiet hours at the Glass Resort are maintained from 12am to 7am. Disturbances should be reported to the reception, who will contact the local police department if necessary.

Use Of Outdoor Hot Spa

The guests can use their outdoor hot spa between 7am and midnight. The use of the hot spa is not allowed between midnight and 7am in order to maintain the general quiet hours of the Resort. Guests are required to read and fully adhere to the hot spa instructions provided in the apartment. Soap, food, glass items, clothing, and towels are not permitted inside the hot spa, and smoking is strictly prohibited. The Glass Resort security department will conduct checks at midnight to ensure that all spas are turned off and properly closed.

Reclamations

Any complaints or concerns about the reservation should be expressed to the reception staff immediately.

Force Majeure & Applicable Law

Glass Resort reserves the right to modify or cancel a reservation in the event of circumstances beyond the Resort’s or service provider’s control, which are classified as Force Majeure situations by the government of Finland, or any other circumstances that prevent the provision of the purchased services. Such Force Majeure events include, but are not limited to, pandemics, floods, earthquakes, extreme weather conditions, war, or acts of terrorism. The applicable law is the Law of Finland. Any disputes arising from or related to the services provided by Glass Resort will be subject to the exclusive jurisdiction of Finnish courts and will be handled in the District Court of Lapland, located in Rovaniemi.
